AI chatbots, AI workflows, and AI agents are not the same thing.
This liberal use of the word "Agent" in our industry to represent them all is bothering me 😀 .
Each of these provides real value. However, confusing them leads to the wrong expectations and the wrong buying decisions.
🔸 A chatbot is reactive. You ask, and it answers or does things for you. There's no decision-making. It just responds, then waits for your next prompt. LLMs have dramatically improved chatbot efficacy.
👉 Chatbot Example: Summarize this report for me
🔸 A workflow goes a step further. It kicks off when a defined event fires, then runs a fixed sequence of steps that a human decided in advance. It can involve AI at individual stages, but the path is predetermined. It follows the rules it was given and stays the same until someone rewrites it.
👉 Workflow Example: Every Monday, pull data → format → email
🔸 An agent is where actual agency comes in. Instead of waiting to be asked, an agent:
→ Detects an insight on its own → Reasons about what to do, then recommends or takes action → Learns continuously from feedback and adjusts over time, in ways specific to you. The path isn't set in advance; it's chosen dynamically toward a goal. That's the distinction between automation and autonomy.
👉 Agent Example: Watch performance, flag issues, act, improve
None of this is a knock on chatbots or workflows. They're powerful, and most teams need all three.
But if you are framing an AI strategy for your business or going through buying decisions around AI, understanding this distinction matters. It'll have big implications for you longer term.
